Client Communication & Boundaries Policy
Effective Date: October 2025
Last Updated: October 14, 2025
At JunieBug Designs, we believe creativity flows best when boundaries and communication are clear.
This policy outlines how we communicate, collaborate, and maintain respectful balance while bringing your project to life.
1. Communication Channels
To keep things organized and timely, all project-related communication takes place via:
Email: hello@juniebugdesigns.com
Project management tools (if applicable, such as Notion or Google Drive)
Scheduled calls during active project phases (as needed)
We do not conduct business or provide project updates via social media DMs or personal messaging apps — this ensures your details don’t get lost and we can track all decisions and approvals in one place.
2. Office Hours & Response Time
Our standard office hours are:
🕘 Monday–Friday, 9:00 a.m.–4:00 p.m. EST
Messages received outside these hours, on weekends, or holidays will be addressed the following business day.
We do our best to respond to all client emails within 1–2 business days.
Please note: design revisions, tech troubleshooting, or large requests may take additional time to prepare a thorough response.
3. Scheduled Check-Ins
For larger projects (such as branding or web design), we’ll schedule check-ins or milestone updates.
This ensures we stay aligned and gives you a clear view of progress — no guesswork, no stress.
If you’d like an additional update outside of scheduled communication, simply email us, and we’ll provide the current status within one business day.
4. Feedback Guidelines
To keep revisions smooth and efficient:
Consolidate all feedback into one clear message per revision round.
Be specific (what you like, what feels off, what you’d like changed).
Submit feedback within 2–3 business days to keep your project on track.
If feedback is delayed beyond 10 business days, the project may be paused or rescheduled based on current availability.
5. Boundaries & Professional Conduct
Respect and clarity are non-negotiable values in our studio.
We kindly ask that all communication remain courteous, constructive, and focused on the work at hand.
JunieBug Designs reserves the right to pause or terminate a project if communication becomes disrespectful, abusive, or otherwise unprofessional.
We understand life happens — missed messages, stressful days, creative indecision — and we approach all client relationships with empathy and patience. But we also protect the creative energy that makes our work thrive.
6. Time Off & Studio Closures
We occasionally close for rest, holidays, or creative reset periods.
Any planned closures will be communicated in advance, and active projects will be rescheduled accordingly.
If you’re running a launch or event that falls near a closure period, please let us know early so we can plan your deliverables accordingly.
7. Emergencies & Urgent Requests
If an urgent issue arises (such as a live site error), please mark your email subject line with “URGENT” and include clear details.
We’ll prioritize emergency technical issues within 24 hours whenever possible.
For non-urgent requests, please follow the standard response window to ensure balanced scheduling for all clients.
8. Respect for Creative Process
Our process includes research, experimentation, and iteration — which means not every concept or draft will look final at first glance.
We ask clients to trust the process and share feedback from a place of collaboration rather than control.
We promise to meet that trust with transparency, clear updates, and beautiful, strategic results.
9. Closing the Project
Once a project is complete and all final files or deliverables are transferred, the collaboration officially closes.
If additional edits, updates, or new requests arise later, they’ll be treated as a new project or retainer task, quoted separately.
10. Our Commitment
We’re not just here to design — we’re here to create something meaningful together.
Our boundaries aren’t barriers; they’re the framework that keeps creativity sustainable, communication open, and results exceptional.
